How To Make Your ADTC Camp A Success
SPRING
- Contact local hotels (or destination hotels for overnight camps), parks, high schools and/or elementary schools, fitness centers, etc. for 3 different date / location options
- Contact ADTC to confirm your date
- Advertise date and tuition cost at your dance studio, around town, in your brochure, e-newsletters, in local papers, on your website, etc.
- Pass out medical release forms to registered campers (ADTC provides you with this form)
- Give early return date for all forms and monies to ensure everything is in order in time for camp
- Include lunch in the cost of the clinic to make the camp easy for everyone
- Contact other organizations, dance studios, teams, coaches, etc. to join you for camp
PRE-CAMP
- Send flyer home or email blast to registered camper parents giving camp details – flyer must inform potential campers of camp location, time, what to bring, what to wear, etc. (ADTC provides this information for you)
- Collect all medical release forms and monies for camp
- Send in your guarantee form along with final payment of any camp balance to the ADTC national office (by April 15, 2008 to receive 5% off tuition)
- Fill out desired schedule and send back to the ADTC national office (as soon as possible, but at least 3 weeks prior to camp)
- ADTC Staff will call you to confirm your desired schedule
- Host contact and ADTC director will sign a "Memorandum of Agreement" relating to camp schedule and details
- Look for camp supply box a few days prior to camp at your contact or organization address
CAMP DAY
- Arrive early to ensure all facilities are open and ready to go (we recommend 1 hour)
- Bathrooms, indoor & outdoor facilities are open, and emergency plan in place
- Plug in sound system and play fun music while dancers arrive (staff will have iPods and CDs)
- Have a few tables and chairs available if you are hosting an ADTC canteen (camp store)
- Have pre-registered list available and easy to check off
- Give all med forms and final count to staff
- Invite the parents to pick up their child about 15 minutes early to see what they’ve learned
- Give camp supply box to staff as they arrive to start off the camp
- Insert numerous short breaks throughout the day to keep the dancers’ attention
- Keep the lunch break short to keep their focus – approximately 30 - 45 minutes
- Keep in contact throughout the day with the ADTC Director to adjust schedule as needed
